With your proactive and positive attitude, you provide high-level administrative and organizational support. You ensure that everything runs smoothly by coordinating, communicating, and following up effectively. You help streamline workflows and foster collaboration across departments, managing multiple priorities with confidence in a dynamic, fast-paced environment.

Your key responsibilities:
- Support by managing calendars and day-to-day scheduling for management, including meeting preparation, agenda and document distribution, and follow-up on action items.
- As backup, attend meetings, take minutes, and ensure timely distribution and follow-up on decisions and assigned tasks.
- Support event coordination to coordinate internal and external meetings, events, and workshops handling venue bookings, travel logistics, catering, audiovisual equipment, visitor management, and all related arrangements.
- Draft, edit, and distribute high-quality correspondence, reports, presentations, and communications, maintaining confidentiality and professionalism at all times.
- Handle incoming communications (e-mail, phone, post), prioritize and route effectively, and respond independently where appropriate.
- Organize and coordinate domestic and international travel for management and guests, including flights, accommodations, visas, itineraries, and expense management.
- Manage governance or key milestone calendars (e.g., board meetings, compliance deadlines), track deliverables, and send reminders to ensure strict adherence.
- Serve as a primary point of contact for internal and external stakeholders, fostering professional relationships, clear communication, and a positive organizational image.
- Ensuring compliance with the procedures and regulations.
Internally, we refer to this position as Management Assistant.
Preferred skills:
- A bachelor’s degree in related field, or equivalent demonstrable ability by work experience.
- At least 3 years of experience as a Personal or Executive Assistant, ideally gained in a law firm environment or involving regular exposure to legal documentation.
- You’ll need to be available for at least 32 hours per week and bring a flexible mindset, as the executive you’ll support often works across different time zones. From time to time, this means being ready to step in outside regular office hours to keep things running smoothly.
- You are fluent in English, and knowledge of additional languages is a plus.
